How Dean Close Schools uses QFM CAFM software from SWG

Dean Close School was established in 1886 and is set in a picturesque parkland of 50 acres within the centre of Cheltenham, UK. This prestigious day and boarding school has an average of 800 students and started using QFM software from Service Works Global (SWG) in 2015. Facilities include a two-storey art school, a music school, three theatres, an all-purpose sports facility with a 25m pool, floodlit AstroTurf pitches, and rifle ranges climbing walls, squash, and tennis courts, and seven boarding houses.

Mick Seamarks, Compliance Manager at Dean Close Schools, spoke to SWG about how QFM software is being used to keep the site running smoothly and cost effectively. QFM replaced a Microsoft Access-style job sheet that the help desk would print and give to operatives. Jobs were being cherry-picked, some were lost and generally the system wasn’t working efficiently.

“We have reduced paper usage alone by somewhere in the region of 3,000 sheets per year, purely by using QFM on a mobile device and digital forms,” says Seamarks.

“One of the things we have been extremely strict on is compliance. Checks include water testing, fire extinguishers and emergency lighting; the QFM app allows the individual to perform the necessary checks and record faults there and then. We pick up more issues as we are going around in this way; QFM immediately captures the data and we don’t have to remember to log anything when we go back to the office,” he adds.
